Admin & Clerical Supported Housing

Band 3 Admin & Clerical Supported Housing required for a large public sector organisation based through the Belfast Trust.

Rate of Pay: £10.40/hr

Location: Mullan Mews

Hours: 25hrs per week (9am-2pm Monday - Friday)

Duration: Temporary ongoing

JOB SUMMARY / MAIN PURPOSE:

The post holder will have the responsibility of developing and managing the delivery of administrative support to the facility manager and professional teams within Supported Housing services as part of the wider Older People Services in various teams across the Trust.

KEY DUTIES / RESPONSIBILITIES

-Responsibility for the smooth running of the admin service on a day to day basis within the Supported Housing Facility.

-Responsibility to ensure that the phone lines are manned and calls filtered out appropriately during core office hours. Effectively deal with calls from patients, relatives, hospital staff and General Practitioners and other individuals or organizations, taking messages, ensuring follow-up and resolving any problems as appropriate to band.

-Assist the Facility and Service managers with accurate minute/note taking for general meetings and at times, -complex patient related meetings.

-Ensure accuracy and timeliness of required data inputs and appropriate outputs for the Paris system and other -relevant systems such as Spocc Net and Alamac.

-Accuracy and attention to detail when completing excel work on financial databases and invoicing systems related to clients and facility financial income and expenditure.

-Record and process tenant information on the appropriate IT system and undertake checks in line with service protocols and procedures.

-Collation and maintenance of various information packs for Tenants, prospective tenants, family members and professional staff.

-Work closely with colleagues in in other supported living schemes to ensure smooth pipeline service for Supported Housing Tenants and Cross cover where required.

-To open and prioritise all incoming mail and action accordingly.

-Participate in the development of local policies and procedures as appropriate.

-Maintain and record information in relation to statutory procedures and display adherence to GDPR protocols in line with Trust's GMGR guidelines.

-Create, develop and maintain effective and appropriate working relationships with colleagues and other providers whose service impacts on the administrative service.

-The post holder will be working in a changing environment. He/she will be expected to adapt to change and undertake other duties within the band of the post as required.

-The execution of other duties (appropriate to the grade) which may be assigned from time to time.

Essential criteria

4 GCSE's including English (grades A-C) or equivalent and one years experience in an admin/clerical role

OR

NVQ level 2 Administration plus GSCE English (grades A-C) or equivalent and one year experience in an admin/clerical role

OR

2 years' experience in an administrative role at Band 3 or equivalent.

AND

Experience in the use of Microsoft office products including Word, Excel and Power Point

Skills

  1. Good communication skills, including Written and Oral
  2. Ability to work as part of a team
  3. The flexibility to work in a changing environment

4.Experience of working in a Multi-Disciplinary Team

5.Ability to meet deadlines and work under pressure
