Admin & Clerical

Band 2 Admin & Clerical required for a large public sector organisation based through the Belfast Trust.

Rate of Pay: £9.50/hr

Location: Killynure EMI, Carryduff

Hours: 20hrs per week (9am-1pm Monday - Friday)

Duration: Temporary ongoing


The post holder will have the responsibility of developing and managing the delivery of administrative support to professional teams within Older People Services in various teams across the Trust


  • Responsibility for the smooth running of the admin service on a day to day basis within the EMI Facility

  • Responsibility to ensure that the phone lines are manned and calls filtered out appropriately during core office hours. Effectively deal with calls from residents relatives, hospital staff and General Practitioners and other individuals or organizations, taking messages, ensuring follow-up and resolving any problems as appropriate to band.

  • Ensure accuracy and timeliness of required data inputs and appropriate outputs for the Paris system and other relevant systems such as Spocc Net and Alamac.

  • Accuracy and attention to detail when completing excel work/recording on databases and invoicing systems related to clients and facility financial income and expenditure.

  • Record and process Residents information on the appropriate IT system and undertake checks in line with service protocols and procedures.

  • Collation and maintenance of various information packs for resident's family members and services.

  • Work closely with colleagues in in other EMI schemes to ensure smooth pipeline service for EMI Residents and Cross cover where required.

  • To open and prioritise all incoming mail and action accordingly.

  • Participate in the development of local policies and procedures as appropriate.

  • Maintain and record information in relation to statutory procedures and display adherence to GDPR protocols in line with Trust's GMGR guidelines. Maintain robust archiving & filing systems.

  • Create, develop and maintain effective and appropriate working relationships with colleagues and other providers whose service impacts on the administrative service.

  • The post holder will be working in a changing environment. He/she will be expected to adapt to change and undertake other duties within the band of the post as required.

  • The execution of other duties (appropriate to the grade) which may be assigned from time to time.

Essential criteria

  1. 4 GCSEs Grades A-C, including English Language and 2 year's administration experience


NVQ Level 2 in Administration


2 years clerical experience (To include 1 year at Band 3 level or above)


3 year's administrative experience at Band 3 level or above


  1. Good Communication Skills
  2. Experience of working in a multi-disciplinary Team
  3. An ability to work on own initiative and show a flexible approach to the job
  4. An ability to meet deadlines and work under pressure
  5. Good written and oral communication skills

Desirable Criteria

  1. 1 year's experience of using Community Information Systems (CIS)
