Administration Assistant (Construction Sector)
We are seeking an Administrative Assistant for one of our clients based in Ballymena on a Temporary six months fixed term contract.
As an Administrative Assistant you will play a vital role in supporting the construction projects by efficiently handling administrative tasks, maintaining accurate records, and contributing to the overall success of the operations. This role requires a detail -oriented individual who can effectively communicate, multitask and manage their time and workload effectively.
Key Responsibilities:
- Document Management: Assist in maintaining organised project documentation, including project management documents, works permits, drawings and correspondence, ensuring they are accurately filled and easily accessible.
- Data Entry: input and update a range of data types, enduring accuracy and completeness of information
- Communication: Serve as the initial point of contact for visitors and incoming calls, directing inquiries appropriately and providing assistance or information as needed. Manage and respond to emails in a timely and professional manner, ensuring effective communication between internal teams, clients and partners.
- General Office Tasks: Perform general administrative tasks such as photocopying, scanning, filing, and handling incoming/outgoing mail as required.
- Health and Safety Compliance: Maintain awareness of health and safety regulations in the construction sector and assist in ensuring compliance through accurate record-keeping and communication.
- Data Protection: Adhere to data protection and confidentially guidelines when handling sensitive information and ensure compliance with relevant laws and regulations.
Qualifications and Skills: -
- A minimum of 3 years of experience as an Administrative Assistant, preferably in construction or a related industry.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook) essential and experience with digital document management systems.
- Excellent organisational skills with the ability to prioritise tasks and meet deadlines.
- Strong communication skills, both written and verbal.
- Attention to detail and a high degree of accuracy in data entry and record-keeping. -
- Ability to work effectively both independently and as part of a team.
- Strong interpersonal skills and a professional demeanour.
- A basic understanding of construction terminology and processes is advantageous.
Working Conditions: The role involves working in an office environment, with occasional site visits. Regular working hours with flexibility as needed to meet project demands
Hours of Work:
- 25-37.5 hours per week
- Monday to Friday, flexible
Rate of Pay:
- Negotiable depending on experience
