MAIN PURPOSE OF THE JOB
Provide efficient and effective administrative and financial support to the Waste Service within the depot in accordance with established corporate and departmental procedures and legislative requirements.
Assist in the development and promotion of Council's waste management activities in order to maximise service performance and customer satisfaction.
Ensure high standards of customer care and continuity of service in meeting organisational deadlines while dealing with a wide variety of stakeholders through various communication channels.
MAIN DUTIES AND RESPONSIBILITIES
1. Service Delivery
1.1. Maintain accurate, comprehensive and up-to-date service specific records and filing systems within the depot.
1.2. Respond to standard correspondence, typing letters and other documents as required, including telephone and e-mail communications on behalf of the depot Waste Management Team.
1.3. Enter, collate and interrogate performance data under the teams control to satisfy audit requirements, contract procedures; demonstrating good governance.
1.4. Assist in the coordination and collation of the sections Waste Data Flow & other recycling statistics required for Corporate Key Performance Indicator's and performance monitoring purposes.
1.5. Undertake research and data gathering exercises under the direction of the Waste Manager.
1.6. Responsible for archiving of data held within the administrative office in accordance with data protection procedures.
1.7. Assist in the marketing and promotion of Council's Waste Management Services.
1.8. Act as point of contact and deal with general enquiries within the depot.
1.9. Assist with the progression of customer enquiries that have been referred on by the Customer Service Team to depot Officers.
1.10. Monitor trade waste schedules; providing relevant officers with service updates in line with agreed Operational Service Level Agreements.
1.11. Arrange meetings, prepare agendas and take minutes as directed.
1.12. Ensure invoices are prepared and present for prompt payment in accordance with Council's finance procedures.
1.13. Assist in the ordering and stock control of waste management related items as directed.
1.14. Carry out any other duties as required commensurate with the grading of the post.
ESSENTIAL CRITERIA;
Have a minimum of 5 GCSEs to include English Language and Maths (grade C or above) or equivalent qualifications to demonstrate literacy and numeracy
AND
Be able to demonstrate, by providing personal and specific examples, a minimum of two years' administrative experience in a busy office environment, to include:
* Working knowledge of a wide range of administrative activities within a customer focused environment
* Experience of processing orders and invoices
* IT literacy and confident use of databases, e-mail and Microsoft packages
AND
A qualification that demonstrates competency in working with office technology i.e. Word Processing or Typewriting.
Alternatively, consideration may be given to candidates who do not possess the required GCSE qualifications but who can demonstrate, by providing personal and specific examples, a minimum of four years' administrative experience in a busy office environment, to include:
* Working knowledge of a wide range of administrative activities within a customer focused environment
* Experience of processing orders and invoices
* IT literacy and confident use of databases, e-mail and Microsoft packages
AND
A qualification that demonstrates competency in working with office technology i.e. Word Processing or Typewriting.
