Administrative Assistant - Here4U Programme

Temporary Administrative Assistant will be responsible for a large public sector organisation based through the Belfast Trust and reporting to Staff Health & Well-being lead- Health Improvement Team.

Rate of Pay: £10.40 / Band 3

Location: Graham House, Knockbracken Healthcare Park

Hours: 5 hours per week - over 2 days

Duration: Temporary ongoing

JOB SUMMARY / MAIN PURPOSE:

Here4U is a health and well-being initiative for Trust staff and is part of the Belfast Trust's wider B Well initiative. The post holder will be responsible for a full range of administrative support for the Here4U initiative and be a member of the Health Improvement Team.

KEY DUTIES / RESPONSIBILITIES

  • Record and process applications for all Here4U initiatives and maintain waiting lists if required.
  • Develop, maintain, and manage a range of databases around programme delivery, attendance, instructors, and associated financial monitoring.
  • Be responsible for the organisation and administration of a range of programmes. This will include the identification and booking of suitable venues/ virtual platforms and instructors, preparation and dissemination of information to staff, management of responses and the arrangement of invoicing.
  • Prepare Here4U promotional material ensuring maximum awareness, visibility, accessibility and participation amongst all Trust staff.
  • Support where necessary the content management of a dedicated staff health and well-being website along with preparation of other health enhancing materials.
  • Maintain adequate supplies of Here4U stock/stationery as required.
  • Execute other duties (appropriate to band) which may be assigned from time to time.
  • Participate in the training and or mentoring of new staff on work procedures during induction and on-going work until they are fully competent.
  • Undertake any administrative tasks appropriate to band as required by the service.
  • Work to agreed timescales and ensure quality standards are always maintained.
  • At all times provide a caring service and to treat those with whom they come into contact in a courteous and respectful manner.
  • The post holder will promote and support effective team working, fostering a culture of openness and transparency. The post holder will ensure that they take all concerns raised with them seriously and act in accordance with Belfast Trust's Whistleblowing Policy and their professional code of conduct, where applicable.

Essential criteria

  • 4 GCSEs at Grades A-C/9-4 including English and Maths or equivalent / higher qualification AND 1 years' experience in a clerical / administrative role.

OR

  • 2 years' experience in a clerical / administrative role.

OR

  • Experience in the use of Microsoft office products including Word, PowerPoint, Excel, and Publisher, or equivalent.

  • Ability to work as part of a Team.
  • Ability to use own initiative.
  • Good organisational skills with an ability to prioritise own workload.
  • Effective Communications skills, written, verbal and virtual, to meet the needs of the post in full.
  • Ability to have a flexible approach to work.
