Band 3 Administrator required for a large public sector organisation based through the Belfast Trust.
Location: Ulster Hospital
Pay Per Hour: £11.11
Full Time / Part Time: Full Time
JOB SUMMARY/MAIN PURPOSE:
The post holder will be expected to work under their own initiative while providing administrative support to the services within the encompass Programme Management Office, which oversees the management and governance of encompass Programme within the Trust. The post holder will be required to undertake and carry out a wide range of secretarial/administrative tasks including the use of word processing, spreadsheets, data bases and other computer packages. The post holder will be required to work closely within the team and deal with many stakeholders, both internal and external to the organisation.
MAIN DUTIES / RESPONSIBILITIES
- To act as the initial point of contact when answering telephone calls and dealing with any queries and/or requests for information.
- Preparation of statistical information in a timely and accurate manner for Senior Clinical and Managerial Staff e.g.: in relation to Programme Board, Delivery and Readiness Group and any other areas as and when required
- Extensive use of databases and spreadsheets using packages such as excel and other computer systems
- Maintain appropriate centralised records regarding Trust encompass Staff.
- Provide support to the encompass Programme Management Office in providing a full range of administration services
- Communicating effectively with both internal and external stakeholders, this will include Core encompass Team, Professional encompass Teams, Management, Regional encompass Team and supplier/s
- Assisting in all aspects of event management pertaining to encompass e.g. Go-Live Readiness Assessment, workshops, any other readiness activities
- Adhering in a timely manner to team procedures (including key trigger points) which have been devised to ensure the implementation of Trust policies
- Word processing/letters/producing reports
- Maintaining diaries, arranging meetings and minute taking as required
- Filing/scanning/photocopying
- Other reasonable duties as required and consistent with the position
ESSENTIAL CRITERIA
4 GCSE grade C or above including English or English Language (excluding English Literature) or equivalent and 1 year's clerical/administration experience Band 2 or equivalent or above
or
2 year's clerical/administration experience at Band 2 or equivalent or above
In depth experience of computer software packages such as Microsoft word, excel, power point and outlook
