Job description

Staffline Recruitment are currently seeking an Administrator on behalf of our client, a private health clinic based in Belfast.

Temporary, full-time position with an opportunity to go permanent after 6 months.

The post holder will provide administrative and secretarial support including reception duties to the work of the client, ensuring that accurate records are always available.

Main Responsibilities:

  • To provide a high level of administrative and secretarial support to the BSM/Supervisor and senior clinical staff within.
  • To be responsible for the management of diaries, organisation of meetings and appointments and the preparation and dissemination of relevant papers as required.
  • To be responsible for the maintenance of the referral process that is established within the clients' systems.
  • To assist the BSM/Supervisor and senior staff in the implementation and be responsible for the maintenance of appropriate administrative systems to support the developing work of the client
  • To progress and co-ordinate administrative actions arising from the decisions of the Directors of the client
  • To be responsible for the receipt and distribution of incoming and out-going mail, fax messages and other correspondence and take appropriate action as required.
  • To undertake a range of general clerical duties within the office including telephone duties, processing messages, reception duties, typing, scanning and photocopying.
  • To maintain the current filing system, manual and electronic, extracting and filling information as required, ensuring that these are kept up to date to facilitate the smooth operation of the organisation, bearing in mind that paperwork may vary from Client to Client.
  • To promote and uphold a professional image when dealing with Clients and other staff members.
  • To answer and or refer queries to the BSM/Supervisor ensuring that accurate and up to date information is transferred within time limits as set down.
  • Maintain confidentiality and Data Protection at all times in a professional manner.

Essential Criteria:

  • 4 GCSEs A - C, including English Language and Mathematics or equivalent or 1 years' experience in a clerical environment
  • Experience in the use of Microsoft Word
  • The ability to prioritise own workload and work to tight timescales
  • Effective communication skills, which will meet the needs of the post in full
