BELSL / Band 3 Risk And Governance Support Officer/Personal Assistant

Rate of Pay: £10.09phr

Location: Belfast

Hours: 37.5hrs per week

Duration: Initially 3 months

Job Summary:

To be responsible for the organisation and provision of personal assistant duties and full range of administrative support to the team for Risk and Governance including personal assistant support to the Clinical Director. This will include diary management, minute taking, dictation, word processing, mail management, file maintenance and the preparation of papers, reports, briefings etc. Prioritise workload and time schedules, to ensure the provision of an efficient and prompt service.


Provide administrative support for meetings chaired by the senior team including scheduling, agenda preparation, minute taking, transcribe minutes and circulate.

Provide efficient and effective diary management as instructed, including preparation of all pre-meeting materials in a timely and accurate manner.

Type letters, memos, reports etc. as required, making full use of computer packages.

Develop and maintain satisfactory electronic and hard copy filing systems and extract information as necessary, including the development of Brought Forward (BF) diary systems.

Deal with incoming and outgoing correspondence as required, providing information, directing and prioritising queries as appropriate, to ensure efficiency and effectiveness of service delivery.

Receive telephone calls and take appropriate action and to maintain records for audit purposes.

Provide administrative support to the department to ensure efficient and effective service at all times including absence of team colleagues due to annual or sick leave.

Arrange travel arrangements and maintain appropriate records.

Arrange attendance at courses/seminars and maintain appropriate records.

Maintain strict confidentiality and security of all documentation.

Order office materials and ensure maintenance of office equipment's required, maintaining records as appropriate.

Knowledge & Skills:

Good communication skills. Ability to work as part of a team & the flexibility to work in a changing environment.

Experience / Qualifications:

Experience of diary management, servicing meetings and minute taking

HNC/HND or equivalent / higher qualification in an administration related field AND 1 years' experience in a secretarial/administrative role OR

4 GCSEs at Grade A-C to include English Language or equivalent/higher qualifications

AND 2 years experience in a 3 years experience in a secretarial/administrative role

OCR Stage 2 Text Processing (Part 1) + Stage 2 Word Processing/Typing (Part 2) or equivalent qualifications. 60wpm short hand or extensive minute taking experience


Excellent communication, organisational and time management skills

Proven ability to exercise good judgement, initiative and discretion.

Ability to work to deadlines and to be flexible and adaptable to working in a changing environment

Proven ability to work as a member of a team, and on own initiative
