BELSL / Band 3 Administrative & Clerical Assistant with Housekeeping Duties

Rate of Pay: £10.09phr

Location: Ulster Hospital

Hours: 37.5hrs per week

Duration: Initially 3 months with possible extension

Job Summary:

Administrative & Clerical Assistant Band 3s provide an administrative service/support in a variety of different settings within the Trust. They will work as an integral member of a team and be expected to use their own initiative.

The post holder will be responsible for a wide range of administrative tasks to support/assist in the effective and efficient provision of services within their department. They will also contribute to the general management/maintenance of the Quality Improvement and Innovation Centre.

The housekeeping duties entail setting rooms up for training or meetings, general tidying up of equipment/training rooms, provision of hand wipes/gel, coffee beans/machines clean and replenished. The PA duties will include diary management, setting up meetings, filing etc..

Responsibilities:

The post holder will be required to carry out a range of duties which may include all or some of the following:

Word processing /producing reports/working on computer systems.

Data input/ retrieval of information.

Sorting and responding to mail/emails as appropriate.

Dealing with general enquiries/providing advice which requires immediate action within definitive guidelines, protocols & policies.

Arrange appointments/meetings as requested to include room booking and catering requests

Take minutes of meetings as required.

Preparation of statistical information.

Dealing with requests for information.

Maintain Filing System.

General office duties such as photocopying/faxing/ scanning.

Order stationery and supplies

Reception duties - maintaining daily information screen, signposting individuals

Set up of rooms

General tidying duties

To participate in the Trust's Appraisal Process and participate in agreed training and development initiatives when identified.

Any other general tasks or projects within the remit of the band.

Experience & Qualifications:

4 GCSEs Grades A-C including English or English language (excluding English Literature) or equivalent and 1 years relevant experience*

Or

2 years relevant experience*

ECDL or in depth experience and knowledge of Microsoft Packages including Word or equivalent

*Relevant experience is defined as experience of working with computerised data information systems in a working environment
