Job description
Staffline has been appointed as HSCNI's number 1 recruitment provider for Admin and Clerical roles throughout the province.
Band 3 Admin Support and Clinic Administrator required on a temporary basis based in Antrim
Role: Band 3 Admin Support and Clinic Administrator
Rate of Pay: £10.40 per hour
Location: Antrim
Hours: 37.5hrs
Duration: Temporary
Main duties/Responsibilities:
- Be responsible for ensuring that all review patients are added to the waiting list appropriately and accurately, and are given an appointment within the agreed target waiting times
- Monitor and take focused action on Primary Targeting Lists to ensure patients do not breach agreed waiting time targets
- Process and issue Outpatient appointments using the Clinic Management facility on Patient Administration System (PAS), in line with the Integrated Elective Access Protocol (IEAP)
- Make appointments appropriate to their urgency to ensure patients of the same clinical priority are seen in chronological order
- Be responsible for maintaining and updating patient demographic details, adding / revising on written and electronic records as appropriate
- Ensure all documentation is appropriate and up-to-date when patients attend the Hospital
- Ensure clinic capacity is utilised to the optimum level through the close monitoring of all available clinic slots, taking appropriate action where possible and escalating to the appropriate Manager
- Request and print letters, documents, labels, and reports using various electronic systems, i.e. Patient Centre, PAS, other Hospital systems and databases for Outpatient Clinics, Validation, etc
- Adhere to General Health and Safety policies and procedures, including the transportation & storage of patient case notes
- Liaise with the Stoma Nurses, GPs, and other appropriate departments to arrange appointments and redirect any queries as appropriate
- Ensure that when adding patients to the waiting list, all referral and review details are correct as this reflects the Outpatient waiting times
- Handle all telephone calls in a courteous and pleasant manner, ensuring patients are directed to the correct department, their messages are recorded and referred to the appropriate staff member, and are offered appropriate appointments in line with IEAP partial booking guidelines
- Ensure all office duties are carried out in accordance with local policies & procedures, i.e. filing, faxing, photocopying, and data entry
- Maintain standards of confidentiality regarding all information held in respect of service users and professional staff
- Booking of Interpreters and Ambulances, as and when required
- Liaise with Pharmaceutical Companies and order stock, as and when required
Essential Criteria:
- 4 GCSE's at Grade A-C / 9-4, to include English Language and one year's relevant experience in an admin / clerical role
OR
- NVQ Level II Administration and one year's relevant experience in an admin / clerical role
OR
- A minimum of two year's admin / clerical experience
- Experience working with various Hospital systems, including PAS
