Job description

Staffline has been appointed as HSCNI's number 1 recruitment provider for Admin and Clerical roles throughout the province.

Band 3 Course Administrator required on a temporary basis based in Antrim

Role: Band 3 Course Administrator

Rate of Pay: £11.11per hour

Location: Antrim

Hours: 37.5hrs

Duration: End of September initially

Main duties/Responsibilities:

  • Provide administrative and clerical support to the Clinical Education Centre's Nursing, Midwifery and AHP staff in the planning, preparation and evaluation of programmes.
  • Process programme/course applications via the Clinical Education Centre's online booking system and check programme/course materials are up to date.
  • Make, receive and deal with telephone & electronic communications as necessary.
  • Undertake reception duties including for example greeting, receiving and providing direction to visitors, programmes participants, speakers, presenters, external lecturers etc.
  • Deal with the receipt and distribution of correspondence, reports, emails including that of a sensitive nature, ensuring that urgent items/matters are dealt with appropriately.
  • Assist in the effective booking and management of the Clinical Education Centre's rooms and equipment.
  • Set up all aspects of online education sessions and meetings ensuring basic technical issues can be resolved as required.
  • Efficiently organise and manage electronic diaries.
  • Type, prepare and compile various documents* as required utilising the Clinical Education Centre's preferred software applications, currently the Microsoft Office suite. *These for example may include letters, emails, memos, agenda, notes of meetings, reports etc.
  • Effectively utilise and ensure that the Clinical Educations Centre's website is up to date and that all website activity is in line with CEC's website standards and guidance for teaching and administrative staff.
  • Input and retrieve data from manual and electronic systems in line with relevant policies, procedures and associated information governance requirements.
  • Prepare and collate statistical data for example attendances rates, evaluations etc.
  • Provide a full range** of administrative and clerical support as required, in the arranging of meetings, seminars and workshops. **This includes for example the preparation of papers, arranging venues, notifying attendees, taking minutes including follow-up actions.
  • Maintain a clear desk and tidy office environment.
  • Maintain stores effectively ensuring that sufficient stock is available at all times.
  • Order stock items using the e-Procurement system.
  • In line with local arrangements and relevant policies receipt and handle money ensuring that it is safely kept and support in its transfer to the bank.
  • Provide cover for other colleagues during periods of absence.
  • Maintain a high level of confidentiality of information in line with current legislation.
  • Continually seek to improve the service delivered embracing change and developments both locally and across the wider HSC.
  • Participate in the BSO's appraisal process attending identified training.
  • Undertake any other duties within the department which may be assigned to from time to time.
  • The post holder will promote and support effective team working, fostering a culture of openness and transparency.

Essential Criteria:

  • Five GCSEs Grade A-C or equivalent, including GCSE English Language and GCSE Maths (or equivalent qualifications) OR Higher Qualification.

OR

  • 18 months experience* in a clerical/ secretarial/administrative position

All applicants must have one year's experience in working with Microsoft Office and Microsoft Word or similar.
