Job description

Staffline has been appointed as HSCNI's number 1 recruitment provider for Admin and Clerical roles throughout the province.

Band 3 Higher Clerical Officer required on a temporary basis based in Coleraine

Role: Band 3 Higher Clerical Officer

Rate of Pay: £10.40ph

Location: Coleraine

Hours: 37.5 hrs per week

Duration: Temporary

Main duties/Responsibilities:

  • Provide clerical and secretarial support in the Nursing Administration Office i.e. filing, photocopying, distribution of information, dealing with telephone calls, word-processing etc.

  • Organise, arrange and attend meetings, ensuring adequate preparation of materials. Prepare agendas and take minutes as required.

  • Process correspondence as delegated for the relevant senior officers. Maintain 'awaiting', 'reply' and 'action' system.

  • Assist in the production of statistical information, and reports from computer systems such as, HRPTS and RosterPro.

  • Maintain records in respect of sick leave, special leave, study leave etc. for nursing staff.

  • Process course applications and information, maintaining database and obtaining feedback and outcome reports as necessary for relevant staff.

  • Liaise with Finance, Information and Commissioning Departments to ensure that all necessary information is available to meet requirements.

  • Completion of personnel paperwork in liaison with General Manager, Lead Nurse, Nursing Admin Manager (e.g. Contract of change, Leavers Form, Verification of Start and Allowance Form)

  • Participation in the induction of staff as directed.

  • Maintain inventory of all office and any specialist equipment and process repairs.

  • Maintain confidentiality in respect of all records and information relating to patients, medical and nursing staff within the Hospital/Trust.

  • Maintain stationery stock for the Nursing Administration Department.

  • To undertake any other duties as may be required from time to time that are consistent with the responsibilities of the grade.

  • Ensure nurse registrations are kept updated on HRPTS and Roster System and inform Lead Nurse of any potential lapses in registration.

  • Regular collation of data as instructed by General Manager, Lead Nurse, Nursing Admin Manager.

  • Assist with production of correspondence relating to sickness absence, as requested by Ward Manager, Lead Nurse and General Manager.

  • Assist with the calculation of annual leave and public holiday entitlement for Nursing staff.

Essential Criteria:

(a) 5 GCSE's (Grade A-C) to include English Language PLUS 1 years clerical/secretarial experience

OR

  • GCSE English Language PLUS 3 years clerical/secretarial experience.

*In addition to (a) or (b) applicants must possess:

OCR Text Processing (Business Professionals) Level 2 Award

OR

RSA Stage II Typing/Word Processing (both parts) or equivalent.

Holders of RSA/OCR examinations after September 1986 must have passed both Parts. Part qualifications are not acceptable. This must be clearly identified on application form.

OR

One year experience in the use of ICT. This should include the use of word-processing, spreadsheets and e mail.
