Band 3 Partial Booking Clerk is required on a temporary basis based in Ballymena

Role: Band 3 Partial Booking Clerk

Rate of Pay: £10.40 per hour

Location: Ballymena

Hours: 18.45hrs

Duration: Temporary

Main duties/Responsibilities:

  • Receive incoming referral letters and process in a timely fashion following departmental guidelines.
  • Allocate hospital numbers if required.
  • Input Schedules of clinics for service onto LCID.
  • Register referrals onto LCID scheduler and partial book patients, as per Regional/Trust/Departmental protocol.
  • Assist in the maintenance of waiting list and notification given to the referrer according to the Department discharge policy under professional leads direction.
  • Fully implement the partial booking process, issuing letters to patients and the associated administrative process.
  • When selecting/offering appointment dates to patients from the waiting list ensure that they are in selected and chronological order. Ensure patients are not offered dates past the guaranteed waiting time.
  • Work using Primary Targeting List to ensure patients are not offered appointments beyond their guaranteed waiting date. If a patient is offered an appointment beyond their guaranteed waiting time, highlight with the professional lead immediately.
  • Calculate capacity for different types of clinics and demand for urgent and routine patients, commence the partial booking process.
  • If patients fail to contact the department after 2 invites have been issued, refer to professional lead for decision to discharge.
  • When the patient makes contact with the Trust ensure that they are given a 'reasonable offer' of a minimum of 3 weeks notice of their appointment.
  • Where appointments are being arranged at short notice, attempts will be made to contact the patient by telephone. Confirmation appointment letters will be posted.
  • Assist in the notification of cancelled/reduced clinics under professional lead guidance.
  • Work with the professional lead to ensure that patients who have been cancelled are re-appointed.
  • Input and retrieve appropriate information from computerised system.
  • Manage email account which will include the sending and retrieval of emails.
  • Prepare files, undertake routine filing duties and maintain efficient and up to date record system in line with Records Management Protocol.
  • Telephone duties - dealing with departmental queries which will include taking and passing on clear and concise messages and obtaining and passing on information.
  • Collecting and collating statistical information as required in line with targets and PFAs.
  • Develop, maintain and update spreadsheets and databases using the Microsoft Office Suite.
  • Maintaining staff relationships and morale.
  • In agreement with Locality/Departmental Managers, receive and send emails on behalf of the Locality/Departmental Managers.
  • Participating as required in assessment and training of staff.
  • Provide administrative cover as required during the absence of other staff or during periods of excess workload.
  • Through his/her own actions ensure adherence to the Principles of Equality and Human Rights legislation.

Essential Criteria:

4 GCSEs (Grades A-C) to include English Language


1 year's clerical experience in an office environment
