Band 4 Administrative Services Officer required for a large public sector organisation based through the Belfast Trust.

JOB SUMMARY / MAIN PURPOSE:
The post holder will form an integral part of the Critical Care within the Hospital and Community Care Directorate, with the responsibility of ensuring the efficient and effective delivery of the administrative function within the team. This role will also require the post holder to fulfil high level administrative duties on behalf of the Assistant Director and Senior Managers.
KEY DUTIES / RESPONSIBILITIES
To provide quality administrative support including the preparation of reports, arranging and minuting meetings, general correspondence and maintaining diaries
To prepare correspondence including reports and high quality effective presentations, material for publication and briefing papers
To assist in the gathering of data, analysis of material and production of computerised repots to support the monitoring and audit function of Critical Care
To ensure diaries and schedules are maintained for the Critical Care Leads with a view to optimising opportunities for the progression of business objectives
To hold responsibility for ensuring adherence to the relevant information Governance procedures and policies within Critical Care
To liaise with the Assistant Director and Senior Managers in relation to the delegation of any requests for information received from other Departmental colleagues or Northern Ireland Assembly and to ensure that responses required from Critical Care are reviewed and submitted within the agreed timeline
To establish and maintain effective communication systems within the Critical Care and other directorate both internal and external to SPPG
To develop, organise, manage and maintain secure filing systems both manually and electronically in line with Good Management/Good Records guidelines and office standards
1a) 2 A-Levels and 5 GCSEs (Grades A-C) or equivalent including English & Maths
18 months Administrative/Clerical experience
1b) 3 years Administrative/Clerical experience In additional to one of the above:
2a) OCR Stage 2 Text Processing (Part 1) & Stage 2 Word Processing / Typing (RSA3) or equivalent
2b) 2 years' experience in high level word processing (report writing, spreadsheet maintenance etc
