Band 4 Personal Secretary
Role: Band 4 Personal Secretary with minute taking duties
Rate of Pay: £10.20
Location: Fairview House, Mater Hospital, Belfast
Hours: Around 20hrs- 9am-2:30pm
Duration: At least 3 months
JOB SUMMARY / MAIN PURPOSE:
To provide an effective, efficient and confidential administrative support to the Co-Director of Family & Child Care and the Management Team and support the delivery of Statutory Functions. This includes diary management, dictation, note taking, mail management, file maintenance and the preparation of papers, reports, briefings etc.
Responsible for the co-ordination of your workload, ensuring necessary follow up action and deadlines are met, while dealing with confidential, sensitive and complex information.
To provide administration and minute taking to the Chair to Belfast Outcomes, the multi-agency partnership and sub-group of the Children and Young People's Strategic Partnership.
To provide independent administration support and minute taking to the Independent Chair of the Safeguarding Board Northern Ireland, Belfast Panel.
Administration for External Independent Partnerships
The post holder will be responsible for all matters pertaining to administration of Partnerships Boards and Meetings to include:
- Acting as minute taker to the SBNI Belfast Safeguarding Panel meetings at each meeting. This will include booking of venue, issuing of invitations, arranging hospitality, liaison with the Chairperson, collation of information and completion of agenda, taking of minutes and circulation of same, Transcription and circulation of minutes and processing within designated timescales and will include liaising with panel members as and when necessary.
- To act as minute taker to the Belfast Outcomes Group meetings at each meeting. Duties as above.
- To provide event planning of organisation for Partnerships as outlined.
NVQ Level 2 Administration plus two years' experience at Band 3.
Have three year's administrative experience at Band 3.
Have evidence of one year's paid typing/word processing experience and can demonstrate a capable level of ability.
