Job description
Band 2 Clerical Officer required for a large public sector organisation based through the Belfast Trust.
Location: Franklin Street Belfast
Hours: 37.5hrs
Duration: Temporary ongoing
JOB SUMMARY / MAIN PURPOSE:
The post holder will form part of a team responsible for the efficient and effective provision of Medical Records, Outpatient Appointments and Reception associated duties. They will also assist in the supervision of associated Clerical staff. NB: The post holder will be required to work between the hours of 8am and 6pm.
KEY DUTIES / RESPONSIBILITIES
- To train, supervise and allocate work to designated Clerical staff
- Liaise with client, staff and departments, internal and external to the Trust to ensure full and efficient service
- Provide and ensure cover for staff during periods of leave as required
- Process and recording of staff leave for designated Clerical staff
- Develop, maintain and monitor IT systems to record and produce work of a consistently high standard
- Ensure all office duties are carried out in accordance with local policies & procedures, i.e. filing, faxing, photocopying and data entry
- Provide Reception cover/duties as and when required
- Processing Out-patient appointments using Clinic Management
- Ensure casenotes are available for clinics and returned to the appropriate areas
- Maintain adequate supplies of stock an stationery
- Ensure the Casenote Tracking of patient records
- Updating/Maintenance of patient information on patient related information systems
- Maintain standards of confidentiality regarding all information held in respect of service users and professional staff
- Booking of outpatient appointments and processing of appointment letters and associated documentation
- Request and print letters, documents, labels and reports associated with computerised systems
- Liaising with other departments in relation to cancelling and rescheduling of clinics and appointments
- Participate in the development of local policies and procedures as well as quality assurance exercises, as appropriate
- Dealing with all telephone and other enquiries including the appropriate recording and referring of messages
- Processing and allocation of patient related correspondence
- Maintain records both manual and computerised in an accurate and timely way and in accordance with local policy and procedure
- Processing and Registration of New Patients
- Maintain standards of confidentiality regarding all information held in respect of service users and professional staff
- Pre-admitting of patients attending upcoming clinics
- Booking of Interpreters and Ambulances as and when required
ESSENTIAL CRITERIA
- 4 GCSE's at grade C or above to include English Language or equivalent qualification and one year's administrative/clerical experience
OR
- NVQ Level II in Administration and one year's administrative/clerical experience
OR
- A minimum of two year's administrative/clerical experience
