Job description

Due to growth and expansion, our client based in Ballymena is looking to recruit a Systems Co-ordinator /Document Controller.

As a Systems Co-ordinator, you will support the quality programme throughout our business and will be crucial to ensuring all project information is regulated and controlled accordingly.

This role's key function is to serve as the middle ground between internal Design, the Client and our Site staff/Sub-contractors, ensuring that Design information is correctly checked, approved and distributed in a manner that allows confidence that all Design information on site is fully correct and approved for construction. As well as this the role designs, creates and manages all workflows including procurement etc. to ensure items receive the correct approval and keeps project drawings/reports etc from the client up to date and available on our own system. Also responsible for ensuring all staff are trained in the use of or EDMS software and assigned to it in the correct role.

In addition to Document Control duties this role also helps to create and maintain our Electronic Quality Management Software by designing, creating and maintaining all Forms on the system, assigns ITPs/Tasks/Processes/Roles and grants access to the system.

Key Duties:

Document Management

    • Follow processes and procedures for secure and safe document management
    • Maintain the EDMS.
    • Maintain and actively participate on all workflows.
    • Maintain accurate document record logs of all drawings and documents issued by all parties at each stage of a project.

Project Support

    • Ensure that all system users are provided with adequate training
    • Provide support to enable team to successfully adhere to Document Control procedures and to ensure they are competent users of our EDMS system.
    • Responding to requests and queries regarding our EDMS.
    • Process a large number of documents daily, to both our EDMS and clients external Document Portals.
    • Ensure control and coordination of projects documentation and data.

Project Comms and Drawing Identification

    • Ensure all drawings/documentation are correctly identified in accordance with naming protocols (both internal and external), distributed to the client once approved.
    • Ensure all comments are distributed correctly and filed/stored.
    • Assistance in the preparation collation and issue of reports and registers as required.

Stakeholder management

    • Build, manage and maintain relationships with clients, contractors, other construction professionals, suppliers and staff.
