Band 3 Foundation School Administrator
Salary: Band 3, £11.11 p/h
Location NIMDTA - Beechill House
Hours: 37.5

JOB SUMMARY / MAIN PURPOSE:
The post-holder will contribute to and support the effective operation of the administrative functions in the Foundation Department by contributing to the operational activities of the Foundation team. The post-holder will work primarily within the Foundation Training team providing administrative support in relation to key areas of work.
KEY DUTIES / RESPONSIBILITIES:
- To provide general administration support to the Foundation Training Coordinator and administration team in relation to Foundation Training
- To assist with the updating and recording of information on databases required by NIMDTA or external bodies to include:
o E-portfolio / TURAS system
o Trainee Information System (TIS)
o Accent Course Manager system
- To administer F2 FLiGHT training days:
o Booking facilities through the e-procurement system
o Administer the registration and enrolment of delegates using the Accent Course system
o Compile and circulate evaluation reports
o Provide support to facilitators during training sessions
o Processing of all Facilitator and venue payments
- To assist with the administration of ORIEL recruitment system and organisation for the National Foundation recruitment process. This will include:
o Maintaining contact with applicants invited to interview o Prepare documentation and materials for interviews
o Assist with obtaining references for those appointed
- To assist the Foundation Training Coordinator with the administration for the Annual Review of Competence Progression assessment interviews for all Foundation Trainees, to include:
o Co-ordination of dates and schedule of assessment
o Circulation of materials prior to assessment and collation of trainee's documentation
- To assist with the administration of the Regional Induction Day for Foundation 1 trainees and coordinate return of induction information.
To utilise the Microsoft Office system and assist with the accurate updating of Foundation databases and electronic records managed by the Foundation Department.
- Work on own initiative as well as part of the Foundation team.
- Taking minutes, organising IT equipment; and ensuring follow up actions are carried out.
- Ensure that a professional administrative service is delivered at all times.
ESSENTIAL CRITERIA
1a. 5 GCSE's (including GCSE English Language and GCSE Maths, Grades A* - C) OR equivalent qualification to demonstrate literacy and numeracy OR Higher Qualification
OR
1b. 18 months relevant experience*
AND
- One year's experience in the last 3 years of working with Microsoft Office.
