Job description

Our client, a prominent freight company based in Belfast, is seeking an experienced Freight Forwarding Operator to join their dynamic team. If you are a dedicated professional with a background in freight operations and logistics, we invite you to apply for this exciting opportunity.

Role is Permanent.

Salary is negotiable based on experience plus company benefits.

Job Duties:

  1. Client Satisfaction: Ensure that client needs and expectations are met or exceeded in a timely and cost-effective manner.

  2. System Management: Create and maintain jobs in the company's Freight Management System, keeping it updated with relevant milestones.

  3. Booking Coordination: Create bookings and follow up with relevant shipping lines to ensure smooth operations.

  4. Customer Communication: Provide booking confirmations and relevant updates to customers promptly.

  5. Collection Planning: Retrieve collection expectations from clients and arrange transportation via either the company's haulier or internal transport department.

  6. Documentation: Process and verify official documents, maintain records, manage shipments, and ensure customs compliance.

  7. Progress Reports: Manage daily routines by generating progress reports and providing regular status updates to your manager.

  8. Document Management: Gather necessary documents from customers and save profiles against the respective job on the system.

  9. Customer Reporting: Provide reports and updates to customers as per their expectations, including daily or weekly trackers.

  10. Invoicing: Ensure that costs and charges are accurately recorded on each job for effective invoicing. Follow up with the sales department for missing information or discrepancies.

  11. Cost Management: Manage any additional charges incurred due to free time restrictions and communicate costs to clients with all related documentation saved in the company's system.

  12. Accounts Assistance: Assist the accounts department with supplier/client invoices, addressing any discrepancies related to charges or costs on a job.

  13. Email Management: Effectively manage personal and group email accounts, offering support to the department as needed.

  14. Supplier Resourcing: Provide support in identifying alternative supplier options in line with customer expectations, such as empty container requirements and haulier availability.

  15. Issue Resolution: Address and resolve any operational issues that arise in a timely and efficient manner.

Criteria:

  1. Experience: Minimum of 2 years of experience in a similar role within the freight or logistics industry.

  2. Software Proficiency: Proficiency in using Microsoft packages, particularly Excel, for data management and reporting.

  3. Communication: Experience using Outlook or similar email platforms for effective communication.
