Head of Payroll

This is a dynamic role for an experienced Payroll Professional with demonstrable experience of leadership in running multiple complex payrolls.

Reporting to the Group Financial Director, you will be responsible for leading the payroll operation for Grafton recruitment in respect of both permanent staff and agency workers across the island of Ireland within the statutory rules, regulations and guidelines, ensuring payment deadlines are met in respect of the Company's monthly (approx. 200 staff) and weekly payrolls (6,000 to 7,000 employees).

The Company is looking for someone who is highly innovative and able to evaluate and identify efficiencies and better ways of working by leading and developing the entire Payroll function, managing a team, providing technical and managerial support both to the team and to the Group Finance Director whilst providing a key link to the finance team and the wider business.

The role:

  • Lead the provision of strategic payroll function and services for the Company
  • Manage the production of multiple accurate payrolls and ensure payment deadlines are communicated and met
  • Put in place frameworks and risk controls for payroll
  • Ensure compliance with all payroll legislation and company operating procedures as well as security of employee data
  • Lead the enhancement of payroll processes, especially in conjunction with a major new system implementation
  • Continuous review of all payroll systems
  • Lead TUPE and acquisition procedures
  • Lead and manage all payroll and benefits projects across the Island of Ireland
  • Lead a team on efficient and effective pension and benefits administration
  • Work alongside the Director of People and Culture on various projects such as: Salary bench-marking, Recognition and Reward Schemes, Gender Pay Reporting etc.
  • To prepare for submission all year-end returns to the Inland Revenue including P14's and P60's, and ensure all staff and workers receive their copy of the P60
  • To prepare for submission the P11D and P35 reports
  • To provide reports as necessary on a periodical basis to relevant management within the Group Finance and ensure budgets are monitored and variances are highlighted
  • To develop, maintain and manage a reporting system that meets the budgeting requirements of management within the Company
  • Prepare and manage payroll amendment reports and provide forecasts as required
  • To produce statutory reports in accordance with jurisdiction i.e. NI and ROI
  • Resolve all escalated issues and answer payroll-related questions
  • Ensure compliance by Payroll Team with applicable laws and payroll tax obligations
  • Manage and develop a payroll team of 15, by conducting annual appraisals and monthly one to ones

Key skills:

  • CIPP or equivalent
  • Payroll Manager in a large, high volume, multi-site organisation
  • Management of a team of payroll professionals, including developing their skill sets
  • Detailed knowledge of payroll systems, taxation, pensions across the Island of Ireland
  • Experience of designing and implementing internal controls and audits
  • Well developed time management system and planning ability
  • High levels of accuracy and attention to detail
  • Excellent communication skills, written and verbal
  • Outstanding communication and influencing skills with proven ability to engage stakeholders at all levels
  • Evidence of a strong analytical approach and the ability to develop a real insight into the needs of the business
  • Strong commercial acumen and awareness
  • A fixation on the highest standards, and improving them thereafter
  • Collaborative team-player, can work cross-functionally with ease
  • An organised, systematic approach to deliver results to deadlines and under pressure
