The Client: Local Healthcare body based in Armagh, serving local residents.
The Role: To achieve improved workforce efficiency and utilisation, it is vital that maximum staffing resources are available for work. The post-holder will therefore act as a dedicated HR resource on a day to day basis to specific Directorate(s) with the aim of ensuring that managers are equipped and supported to deal with both short-term, long term and unsustainable staff absenteeism appropriately, with sensitivity and in accordance with the Trust's Procedure for the Management of Sickness Absence.
KEY DUTIES / RESPONSIBILITIES
- Work with the Senior HR Advisor aligned to the specific directorate(s) to assist in the development and implementation of directorate action plan(s) to reduce sickness absence levels.
- Proactively assist line managers, to manage episodes of long term sickness absence with the aim of ensuring that all appropriate action is taken in line with the Trust's Sickness Procedure to enable the individual member of staff to return to work at the earliest opportunity, where this is possible. This will involve participating in sickness absence meetings with the member of staff along with the relevant manager and trade union representative.
- Proactively assist line managers, to manage episodes of recurring absence due to an underlying medical condition, ensuring that all appropriate action is taken in line with the Trust's Sickness Procedure to support the individual member of staff to improve their attendance at work, where possible. This will involve participating in meetings with the member of staff along with the relevant manager and trade union representative.
- Where a return to work from long term absence is not considered by Occupational Health to be an option, or where options to assist a staff member improve their levels of attendance at work have been exhausted without success, ensure that termination/ retirement on the grounds of ill-health is managed appropriately and sensitively, and in accordance with departmental guidance.
- Responsible for the Attendance Management Panel process, in accordance with guiding principles and Standard Operating Procedures, to ensure that unsatisfactory levels of attendance are managed appropriately.
- Based on directorate sickness absence profiles, identify 'hotspot' departments, which require more detailed analysis including frequency and length of absence, reasons for absence, staff groups / bands etc, liaising with Workforce Information Department and relevant line managers as required to develop a detailed picture, from which action can be planned.
- Liaise with relevant parties (eg Assistant Directors of HR, those who hold the redeployment register) in relation to sourcing redeployment options for staff in circumstances where this has been recommended by the Occupational Health Department.
- Advise managers on their responsibilities in relation to the management of sickness absence, including the need to accurately record absence. This will enable improved accuracy of sickness absence reporting.
- Ensure accurate records (both manual and computerised)/ case files are kept on all sickness activity within the Directorate.
- Provide reports to senior staff, on a monthly basis, detailing the management of sickness activity within the aligned directorate(s).
- Maintain knowledge of all relevant legislative changes and Trust policies relating to health and well-being of staff including Work Life Balance policies.
- Assist senior staff, as required, in relation to the development of Health and Wellbeing activities and initiatives within the Trust.
Hours of work: Monday-Friday 9am- 5pm
Requirements:
- HNC/HND or equivalent/higher qualification in an administrative field AND 1 years' experience in a relevant Admin role.
OR
- 4 GCSEs or equivalent at Grade C or higher, including English and Maths AND 2 years' experience in a relevant Admin role.
OR
- 3 years' experience in a relevant Admin role
- OCR/RSA/GCSE Stage 3 Word-processing/Typing (parts 1 & 2) or equivalent qualification
OR
- An equivalent standard of word processing skills gained through a minimum of 1 year's word-processing experience.
- Experience of Microsoft office packages to include Word, PowerPoint and Excel
- Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment.
