Job description

Temporary HR Support Assistant required for a large public sector client based in Belfast City Centre.

Rate of Pay: £12.95 per hour

Location: 9 Adelaide, Belfast City Centre

Hours: 37 hours per week

Duration: 3 months pending review

Main duties/Responsibilities:

  • To organise, service and provide secretariat to joint appeals boards, internal appeals boards and any other appropriate panels
  • To compile a variety of information and confidential materials, from various sources, and summarise information in line with agreed targets and objectives, compiling appropriate reports as and when required
  • To service a range of senior management, corporate, HR Forum and other ad hoc HR meetings
  • To supervise staff as may be assigned from time to time
  • To coordinate the diaries of the senior management team for the arrangement of appointments, meetings and hospitality
  • To undertake allocated assignments, HR projects and activities as directed to meet targets and inform line management of any issues
  • To provide a point of contact for employees and visitors for the Senior Management Team and Employee Relations unit
  • To coordinate recruitment and appointment procedures, chair short listing and interview panels, administer selection testing where appropriate, and prepare and issue all associated documentation
  • To be responsible for the maintenance and use of a range of HR systems and databases to extract, manipulate and analyse data for the production of management reports and information
  • To assist in the development and administration of job descriptions and categorisation and job evaluation procedures, maintaining associated processes and records
  • To provide advice and support on a range of human resource matters and assist with the preparation of proposals and reports to customers and stakeholders
  • To lead and participate in community outreach activities including providing careers advice, attending careers conventions and delivering talks and educational awareness sessions in schools, universities and job assist centres
  • To participate in and provide support and assistance to the HR functions
  • To prepare and issue specific correspondence, including contractual changes of employment and ensure all administration processes required for the HR functions are undertaken
  • To organise and set up appropriate facilities for use for the HR functions including room bookings, assessment centres and hospitality
  • To provide reception cover and support at council Human Resources and Continuous Improvement (HR/CI) facilities
  • To undertake impromptu assignments and human resources and continuous improvement projects and activities as directed including project coordination
  • To ensure the effective compliance of agreed human resources policies, procedures and processes in line with statutory requirements and best practice
  • To assist and support with the delivery, administration and coordination of training courses such as job application and interview skills training
  • To maintain an awareness of the most up to date HR and CI developments and legislation changes
  • To motivate and manage any staff, that may be assigned, to the post holder to ensure effective service delivery and to be responsible for reviewing and implementing a proper staff training and development programme

Essential criteria:

  • Be able to demonstrate by providing specific examples at least six months relevant experience in each of the following areas:
    • assisting with recruitment and selection panels including providing related administrative support and giving advice to operational managers on employee resourcing matters
    • using and assisting with maintaining specialist human resources related software or systems for recruitment purposes
    • organising meetings including booking facilities and composing a range of confidential letters on human resources matters
