Job Title: Junior Corporate Services Officer

The Client: Grafton Recruitment is a specialist in the provision of temporary and permanent staffing solutions to clients nationwide. We currently have a vacancy for a Junior Corporate Services Officer with our client, a leading Irish energy business based in Dublin 2. This position is for a 12 month period.

The Role: Junior Corporate Services Officer team member will report to the HR Manager. The role will mainly consist of administrative duties, (based at the reception desk) providing a reliable, high quality and timely admin/facilities support function to the entire office, to both external and internal customers. The main functions of this role are:

A varied role, the Corporate Services Officer will be required to carry out:

Day-to-day Administration of the Internal Reception Desk

  • Meet and greet visitors/clients and monitor ID badge protocols
  • Direct general email queries from clients, members of the public and refer clients to the relevant departments for further information where required
  • Maintain the reception area to a standard which represents excellence.

General Office Administration Duties associated with the office of the CEO/COO

  • Meet/greet clients
  • Diary management for CEO & Snr Management team
  • Coordinate Snr Management meetings
  • Coordinate restaurant/lunch requirements via internal software system for CEO/COO

General Administration Duties, and assisting with the Day-to-Day running of the office

  • Point of contact for internal facility related matters registered on external Facility Issue notification system - raise a ticket(s)
  • Manage staff leave change requests on 'on-line' attendance system in a timely manner and report variances where applicable to HR team
  • Manage stationary requirements for the office to ensure adequate supplies in line with Procurement guidelines
  • Manage tea/coffee, kitchen utensil order requirements
  • Daily collection and distribution of post, parcels, courier bookings, collections and deliveries
  • Manage staff taxi bookings and monitor associated invoicing
  • Manage internal online meeting room booking system

Monitor office housekeeping (e.g.) cleaning of office areas, kitchen areas, coffee dock area, shredders, etc., to ensure a speedy resolution to any queries that arise

Liaise with internal Departments regarding relevant matters: e.g. Security, Car Park, Maintenance, H&S

  • to ensure a speedy resolution to any queries that arise
  • to assist with other work related duties that may arise as part of the general working of the office

Required Skills & Experience

  • Good interpersonal skills with the ability to communicate verbally and in writing to a variety of stakeholders
  • The ability to deal with confidential data
  • Good IT skills, knowledge of and the ability to quickly learn. MS Office packages will be required
  • Experience of setting up meeting logistics
  • A professional and enthusiastic attitude and friendly disposition
  • An ability to work on own initiative and to take ownership of the role
  • 1 year minimum of relevant experience
  • Education: Level 6/PLC Certificate or Diploma or equivalent

Desirable Skills & Experience

  • Experience working with Time and Attendance systems

Hours of work: 37 hours per week Monday - Friday
