The Client: Local Public body based in Enniskillen, serving local residents.
The post holder will primarily provide administrative support to the Ward Sister/Charge Nurse and act as a contact point for operational issues not directly relating to patient care in the Ward/Department. She/he will play a key role in meeting the administrative needs of Ward Sisters/Charge Nurses and their deputies. These duties will include diary and mail management, collation and presentation of audit data, maintenance of training and clinical supervision records, minute taking of Ward Staff Meetings and other meetings as requested, amending staff rosters as directed, completion of documentation relating to Human Resources policies and processes, updating equipment registers.
The post holder will work closely with, and under the supervision and direction of, the Ward Sister, Charge Nurse to ensure continuity in service provision and as such will need to exercise initiative, independent judgement and decision making within a variety of situations.
A key part of the role will be to set up, develop and maintain systems of effective communication to prevent duplication of work and to allow nursing and midwifery staff to concentrate on patient care.
KEY DUTIES / RESPONSIBILITIES
- Provide a full range of administrative support to the Ward Sister/Charge Nurse, including diary management, sorting and distribution of mail, management of correspondence, minute taking, preparation of reports following investigations of complaints and clinical incidents.
- Deal courteously with members of the public and the multidisciplinary team, both in person and on the telephone.
- Assist nursing staff in preparing for patient admission - (bed area and provision of necessary paperwork)
- Complete appropriate documentation in relation to planned absence of staff and payroll and process this accordingly.
- Be responsible for amending staff rosters when approved by the Ward Sister/Charge. Nurse or authorised deputy, to include recording of bank requests and communicating with the Nurse Bank Coordinator to secure appropriate shift cover as directed.
- Assist with the collation and preparation of audit information, for example Patient Satisfaction Surveys, Environmental Cleanliness, Hand Hygiene, Early Warning Scores, Compliance with Clinical Standards etc.
- Assist in the scheduling of training both mandatory and professional for ward staff and ensure that training records are maintained.
- Maintain records of annual leave taken and alert the Ward Sister/Charge Nurse to variances in planned leave or where requested leave exceeds the approved level to ensure safe staffing levels and skill mix.
- Act as a point of contact in relation to recruitment issues (e.g. organising of interview dates on behalf of Ward Sister/Charge Nurse, preparing relevant documentation etc.).
- Assist, as required, in the induction of new staff to the ward.
- Act as a point of contact in the ward for all operational issues not directly relating to patient care, for example liaison with Throughput Team regarding bed availability, scheduled and unscheduled maintenance work, liaison with the catering department regarding changes to patient meals, liaison with the laundry department regarding the need for addition supplies.
- Liaise with the relevant departments to ensure that clinical supplies, medical equipment, furniture and fittings are maintained in appropriate working order. This may include processing requests to rent specialist medical equipment.
- Ensure correct ordering and authorization of requisitions.
- Provide support to staff providing direct patient care for example preparing for patient admission including preparation of bed area and paperwork, dealing with patient enquiries, arranging transport, contacting relatives, chaplain services or interpretation services.
- Assist in the security of patients' belongings and valuables, in accordance with Trust
- Keep notice boards and health information racks up to date.
- Undertake any other duties as required under the direction of the Ward Managers.
- Take responsibility for his/her own ongoing learning and development, including full participation in KSF Development Reviews/appraisals, in order to maximise his/her potential and continue to meet the demands of the post.
Hours of work: Monday - Friday 9am to 5pm
Requirements:
- 4 GCSEs at Grade A-C including English Language and Maths or equivalent / higher qualification AND 1 years relevant administrative / clerical experience
OR
- 2Years relevant administrative / clerical experience
