Job description

Temporary Operations Manager required for a large public sector client based in Belfast City Centre.

Rate of Pay: £15.78 per hour

Location: Belfast Castle/Malone House

Hours: 37 hours per week (some unsocial hours required)

Duration: 1 month pending review

Main duties/Responsibilities:

  • To manage all the services necessary for the effective and efficient use of the facilities within the Belfast Castle/Malone House, to include front of house operations, catering, cleaning, utilities, security and maintenance
  • To work as a member of the Parks Estates Team in the absence of other team members
  • To manage, develop, organise and deliver public and private tours at Belfast Castle and to have an in depth knowledge of the history of both properties
  • To manage and be the responsible person for wedding services and to ensure that all services run to the specified time schedule and administer the legal agreement required
  • To liaise with public and private bodies such as the PSNI, Fire Brigade, corporate groups and local community groups for operational issues, special events and environmental matters
  • To manage and control the booking and organisation of the facilities and events including liaison with prospective users and assistance with arrangements, which includes responding to all routine correspondence, enquires and complaints
  • To manage front of house staff, allocate duties, oversee timekeeping, timesheets, rotas, staff leave, sick leave, over time and absence management
  • To provide clear direction, leadership and motivation to all staff within the Belfast Castle/Malone House
  • To assist in the supervision of grounds staff, both permanent and seasonal, giving instructions and making "on the spot" decisions regarding work schedules and priorities in order to ensure delivery of a quality service
  • To be responsible for cost effective procurement of goods and services, to assist the Parks Procurement Officer in preparing project specifications, evaluation of contracts, quotations and tenders relevant to operational needs
  • To be responsible for ensuring that the use of the properties are optimised in terms of utilization and layout and that high standards are maintained in terms of décor and ambience
  • To take overall responsibility for all monies received for room hire, paintings, and ancillary services. This includes cash handling, petty cash, safe keeping and reconciliation
  • To manage all the commercial activity taking place in the Estates Unit, to assist in the development and implementation of appropriate pricing structures and initiatives for room hire and ancillary services and to be responsible for the day to day running of the Visitor Centre
  • To manage and oversee that all statutory regulations are adhered to at Belfast Castle/Malone House including maintenance of the fire log, entertainments licensing, health and safety practices, food hygiene, disability awareness, incident and accident reporting and non smoking compliance
  • To oversee the maintenance of all electronic communication systems such as CCTV security systems, panic alarms, pagers, automatic entry points, telephones and intercoms
  • To be responsible for the maintenance of a neutral and harmonious working environment in both properties at all times and carry out appropriate monitoring as required

Essential criteria:

  • Have a third level qualification in a relevant discipline such as Business Studies, Hospitality Management or Tourism Management
  • Be able to demonstrate by providing specific examples at least twoyears' relevant and practical hospitality/tourism experience in each of the following areas:
    • managing a range of staff on a daily basis
    • providing excellent customer care
    • event coordination including the planning and delivering of social functions
    • working with public or private organisations in the delivery of a service
