Job description

I am seeking candidates for a part time Payroll & Office Administrator based in Cork. A warm and friendly working environment, dealing with staff and club members. This is a permanent role and I am looking to start the right candidate as soon as possible. I would be delighted to discuss in more detail.

Details below of what the role entails:

  • Provide general support to members and visitors, including answering and directing calls/emails or face-to-face queries
  • Monitor membership changes such as resignations, applications, setting up new members as required, updating of phone/email distribution lists and preparing ballots for monthly meetings
  • Develop and maintain suitable filing systems, both manual and electronic
  • Prepare and monitor invoices, process online payments, credit card payments, cheques and cash payments for all aspects including memberships, coaching activities and gym classes
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, coordinating repairs to office equipment etc.
  • Process Payroll for all staff on a weekly basis
  • Monitor and update website, and social media as required with current and upcoming events and keep up to date with coaching, social, gym, squash and tennis activities
  • Maintain supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing orders for supplies; verifying receipt of supplies

Necessary Skills Required

  • Minimum three years' experience in a similar administrative, customer facing role
  • Strong computer skills including proficiency in Word, Excel and Microsoft office tools
  • Strong organisational and problem-solving skills
  • Ability to handle multiple tasks as required
  • Ability to work as part of a team
  • Ability to handle sensitive information in a confidential manner

Desirable Skills

  • Experience with Google Suite of products, in particular Gmail, Google Drive .
  • Experience building online forms (e.g.: Google Forms, Cognito Forms or similar)
  • Basic web editing experience with WordPress (or similar).
  • Experience with Sage accounting software
