Personal Assistant | Healthcare |Temporary Contract | Dublin 8
The Client: Located in Dublin South, our client is a specialist in the healthcare field with a well-established network. They are seeking to appoint a Personal Assistant to support a Senior Director on a full-time, fixed-term contract basis for 3 months. There is a possibility that this role will extend beyond the initial contract period.
The Role: Personal Assistant
The key focus of this role is to provide daily administrative and professional support to a Senior Director.
Responsibilities:
- Handle a range of administrative tasks on behalf of the Director including efficient diary, calendar and meeting management
- Provide an efficient line of communication for all interdepartmental queries and to efficiently manage relationships with internal and external stakeholders
- Schedule on and off-site meetings and assist with meeting planning and organisation, providing support including agenda setting and minute taking
- To act as the first point of contact for the office of the Director, ensuring all actions are addressed in a timely manner
- Preparation of reports and PowerPoint presentations (Word/Excel/ PowerPoint), distributing and collating documents
- Process expense claims for the office in line with internal policies and procedures
- Lead event management and activity organisation for the department
- Organising and taking minutes of meetings as requested
Requirements:
- At least 2-3 years experience in a similar role supporting Senior Executives in a very busy environment
- Strong technical and IT skill with a high level of proficiency with MS Office programs, including Word, Excel and PowerPoint (advanced Excel an advantage)
- Excellent attention to detail with strong technical, analytical and numerical skills
- Strong organisational skills and the ability to work as part of a on/off site team environment, self-manage and prioritise daily workload
- Effective communication skills with the ability to lead and influence at all levels
- The ability to work both independently and as part of a team and experience of working with multiple stakeholders
