Sales Administrator wanted for fixed term role (until end of Sept 2023) in Fermanagh
Hours of Work : 9am-5pm (Mon-Thur), 9am-4.30am (Fri)
Salary : £22,500
Duties
- Respond quickly and efficiently to all in-coming enquiries
- Receive and process orders and payments efficiently
- Recommend appropriate products/services/plans to customers by providing clear, informative and expert advice with a confident and positive attitude
- Outbound calling to customers during promotional campaigns
- Maintaining regular communication and provide routine updates to ensure that all customers are kept fully informed of the progress of their orders
- Resolve problems to customer's satisfaction in a timely fashion and ensure root cause has been identified and communicated to relevant department for corrective action
- Establish and maintain administrative processes and procedures for the effective running of the office
- Support the Customer Support Team Leader to ensure cost efficiencies, effective logistics management and internal processes and procedures are followed.
- To liaise with the scheduling team in order to ensure successful order fulfilment
- Booking transport inc. third party hauliers, accurately conveying load details
- Dealing, reporting, investigating and logging of failed deliveries
- Reconciliation of third party and internal transport costs
- Assisting with daily scheduling of delivery routes and associated administration
- Manage sales order processing function from order receipt through to invoice, delivery and collection
- Liaise daily with relevant parties to ensure that orders are invoiced correctly, and the customer gets their documentation. In conjunction with the Credit Control Department, ensure that all sales invoices are issued and settled in accordance with the company's terms of business
- Liaising with credit control in order to ensure loads can be released
- Maintain and update an internet-based customer management and payments system
- Use of internal software to schedule efficiently (utilising driver & truck resources ensuring customer orders are met whilst optimising routes)
- Liaising with drivers with regards to deliveries and rescheduling failed deliveries to utilise stock in transit
- Monitor stock levels in depots
- Support the external sales function and assist with marketing initiatives
- Carry out effective telesales and mailshot activity as directed by the Sales team
- Perform other clerical duties such as scanning, photocopying and filing
Essential Criteria
- A minimum of 5 GCSE's (or equivalent) at Grade C or above (including Maths and English)
- At least 1 years' administration experience in a busy sales or customer service environment
- Proficient in MS Office with a good working knowledge of MS Excel and Word
- Excellent written, oral and numerical communication skills
- Well organised, good time management, systematic, committed to developing teamwork
- Works well of own initiative
- Ability to work under pressure and multitasking
Desirable Criteria
- 3rd level qualification in a business-related subject
