Secretary/Minute taker (Band 3)

Downpatrick

Temporary

The Client: Local Healthcare body based in Downpatrick, serving local residents.

The Role: The post holder will be responsible for providing an efficient and effective administrative service:

  • Arranging and servicing meetings, including the issuing of invitations, the taking of minutes using a laptop, circulation of minutes and updating of information systems.
  • Word processing letters/producing reports.
  • Sorting and responding to mail as appropriate.
  • Dealing with general enquiries.
  • Maintaining electronic diaries.
  • Sorting and processing information.
  • Preparation of statistical information.
  • Dealing with requests for information.
  • Making appointments.
  • Filing and file archiving using both paper and electronic filing systems.
  • Dealing with telephone calls.
  • Photocopying/scanning.
  • Maintenance and payment of petty cash.
  • Reception/switchboard cover
  • Assisting in the absence of others to maintain and support service delivery.

Hours of work: 37.5 hours, Monday - Friday, 9am- 5pm

Requirements:

  • 4 GCSE's at Grades A-C including English Language or equivalent/higher qualification AND 1 years' experience in a clerical/administrative role, OR 2 years experience in a clerical/administrative role
  • Experience in the use of Microsoft Office Product Word or equivalent
  • Experience in minute taking
  • OCR Level II Test Processing or equivalent.
  • Hold a current full driving licence which is valid for use in the UK and have access to a car on appointment

  • Rates of pay £10.09 per hour
