Service and Maintenance Administrator
Contract Duration/Type: Short Term | 4-6 weeks
Location: Kilkenny
Onsite in office.
Working Pattern (Time/Hours): 8:30 - 17:00, Mon-Fri

Overview of the role:
Responsible for Administrative work supporting the Service and Maintenance department
Duties of the Role include;
- Completion of job cost sheets for our clients
- Liaising with clients and Our client technicians
- Number Coding timesheets - supporting new electronic timesheet solution;
- Number Coding of the service engineers report dockets / reports on Concept;
- Support to Engineers on site with Concept Information raising and allocating tasks to the technicians
- Updating P-card register (purchase Pipeline) - capturing relevant requisition numbers and Workday PO numbers on Concept
- Filing / copying of purchase orders in relevant WBS files / sections (overheads, tools, stock etc..)
- H&S - Tracking of certification of engineers equipment (e.g. harnesses , lanyards, test equipment)
- Tracking / updating list of engineers H&S certifications i.e. safe pass , manual handling, MEWP, confined spaces etc;
- Filing of stores and van issued dockets
- Filing of invoicing (quotes, additional calls) on concept;
- Generating service / calibration certs for works done for relevant clients.
- Additional Filing, copying as the need may arise - Tenders, Method statements & Risk assessments etc;
Required skills for this role;
Desired but not essential formal qualification in Administration or relevant experience
- Strong prioritisation and organisational skills
- An ability to complete detailed cost sheets(MS Excel)
- An ability to take initiative
- Strong Computer skills
- Strong Microsoft Office skills
- CMMS experience
- Working in a technical environment
- Previous experience in a service company environment
- Excellent organisation and administration skills
- Strong prioritisation and organisational skills
- Ability to multitask
- Strong attention to detail
- Excellent communication skills both verbal and written
- Ability to work to deadlines
