Job description

Visitor Services Project Manager

Staffline Ireland are recruiting for a Visitor Services Project Manager for a company in the leisure and tourism industry. The Visitor Services Project Manager will provide project management support for company's Visitor Servicing department in delivering visitor servicing plans and key visitor servicing projects, focusing on destination management initiatives.

Responsibilities:

  • Work with the Director of Visitor Servicing to develop and be responsible for the delivery of key elements of an ambitious visitor servicing strategy.
  • Contribute to the development of and have responsibility for the delivery and management of the Visitor Servicing projects elements of the annual business plans and detailed yearly Operational Plan.
  • Develop and maintain strong working relationships with partners and key Stakeholders.
  • Support the Director in the development and delivery of a new Digital City Pass for Belfast including: managing the procurement process, appointing consultants/delivery agencies, industry consultation with product and experience providers, contracting third party sales agents, putting management systems in place, launch of Pass, marketing, promotion and monitoring of sales against sales targets.
  • Project manage and deliver the Phase 2 Enhancement of Digital Technology project focused on digital assets in Welcome Centre and off-site interactive Visitor Information touchscreens. All procurement and management of hardware and software providers.
  • Co-ordinate, oversee and manage the updating of the gateway content of digital screens.
  • Collate, maintain and provide regular reports on the use of the off-site kiosks.
  • Develop and deliver an online gift shop, profiling local gifts and souvenirs.
  • Manage, enhance and deliver Concierge Programme "Get the Knowledge", including seasonal briefings for industry front-of-house staff, the co-ordination and delivery of annual front-of-house familiarisation (FAM) trips, and regular "Pop in and See" events.
  • Manage all the pre-season and on the ground preparation for Visitor Servicing support for Cruise, including pre-season planning with partners on the safe return of Cruise, engagement with local industry partners, Cruise Excursions companies, shipping agents and delivery of a Cruise Animation Programme at Cruise Welcome Hub.
  • Develop, lead and manage volunteer programme, including recruitment, training, rostering, communications and briefing of volunteers, integrating with core and seasonal Visitor Servicing teams.
  • Support the Director in helping manage and monitor the Visitor Servicing budget through Exchequer (financial management system).
  • Co-ordinate quarterly reports on Visitor Services Project performance.
  • Manage the procurement process for Visitor Servicing projects for the department both through quotation processes and via BCC e-sourcing platform
  • Attendance, when required, at functions, receptions, exhibitions and meetings (locally and internationally)
  • Any other duties role may involve.

Essential Criteria:

  • 3 years Business Management experience, gained preferably in a customer facing environment.
  • Degree level Qualification OR 5 years relevant Business / Project Management Experience
  • Previous experience in a project management role.
  • Experience of Managing small teams/ Volunteers.
  • Budget management experience.
  • Strong administration background.
  • Proven experience of preparing reports and presentations.
  • Proven experience in the use of all Microsoft Office applications: Word, Excel, Outlook and PowerPoint.
  • Excellent oral and written communication skills.
  • Proven ability to work on own initiative on projects.
  • Ability to initiate, build and develop relationships with clients and partners.
  • Ability to build relationships across a team.
  • Strong analytical, planning and organisational skills.
  • Monitoring and evaluation skills.
  • Ability to work in a fast paced environment.
  • Ability to meet deadlines and multi-task on a number of projects.
  • Results driven, enthusiastic.

Desirable Criteria:

  • Degree level qualification in a relevant discipline e.g. Travel & Tourism, Business Studies, Communications, Marketing, Hospitality, Leisure, Retail, Commercial etc.
  • 2 years' relevant experience in project management.
  • Previous Experience in the Tourism, Hospitality, Leisure Industry.
  • Experience of accounting software.
  • Procurement or Business Purchasing experience.
  • Previous Experience of managing technology based projects.
  • Good Knowledge of Belfast and Northern Ireland as a tourism destination.
  • Full driving licence and access to own transport is desirable.
